How it works

What the device does, step by step, and how your clients' data is kept private.

In short

Your client data stays in your office.

A device in your office reads your OneDrive and email, read-only, and builds one database of your clients. The AI runs on the device. You keep the result; the device is erased at the end.

Read-only accessIt can read your OneDrive and email, but can't change, delete, move or send anything.
AI runs in your officeOn the device, not on the internet. Nothing goes to online AI services.

Privacy at a glance

No online AI

The AI runs on the device. Nothing goes to ChatGPT, Claude, Copilot or any online AI.

Stays in your office

Files are copied onto the device and stay there. Only anonymised progress and support details, a counts-only summary of what your documents hold, the de-identified copy at handover, and a list of shop and business names with their spending category (no client names, amounts, dates or accounts) leave.

De-identified copy for referrals

At handover Mortgage Collective receives a copy of the client database with names, emails, ABNs and addresses removed (suburb and postcode kept), to spot clients who could benefit from a loan review. Any introduction to a client goes through you.

Read-only

Microsoft enforces it: the device can't edit, delete, move or send anything.

Encrypted

If the device were stolen, its drives are unreadable without the password.

Erased at the end

You keep the workbook; the device is erased in front of you, with a signed record.

Step by step

1

Discover

After one read-only Microsoft sign-in, the device lists your OneDrive and email: folders, sizes and counts. It then reads a small sample, about 300 documents and 60 emails, to show what your files hold and to answer what it can of its first questions.

What you do

Sign in once with your Microsoft account.

Privacy
Only the sample is copied, and it stays on the device.
2

Approve

You see what was found, what's in the documents, and choose what's included.

What you do

Answer any first questions, untick folders or senders to leave out, then press Approve and start.

Privacy
Nothing else is copied before you approve. Sampled files from folders you leave out are deleted.
3

Download

The included files and emails are copied onto the device's encrypted drive. Identical files are copied once.

What you do

Nothing.

Privacy
Read-only: your OneDrive and email are never changed.
4

Read and sort

Every file is read, including scans and photos, and sorted by type: payslip, bank statement, tax return and so on.

What you do

Nothing.

Privacy
Done on the device, by the device.
5

Extract

A short form is filled in for each document. Every figure must quote the line it came from, so nothing is invented.

What you do

Nothing.

Privacy
Licence, passport and Medicare numbers are never recorded.
6

Build households

People, families, companies, trusts, income, assets and loans are linked together. The device's AI answers what the documents prove; the rest are questions for you.

What you do

Answer what you can, then press Done. Unanswered questions keep the best guess.

Privacy
Questions are visible to your staff only.
7

Workbook and spending

Your client workbook is built, then spending by category is added from bank statements.

What you do

Review it.

Privacy
The workbook is yours.
8

Hand over

You receive the workbook and Mortgage Collective receives the de-identified copy. The device's Microsoft access is removed and it's erased in front of you.

What you do

Check you have the workbook.

Privacy
Signed erase record for your files.
